General
Q: What does the integration do?
The integration keeps resident and medication records aligned between MediMap and AlayaCare.
Residents created in AlayaCare appear automatically in MediMap
Medications recorded in MediMap show up as progress notes in AlayaCare
Q: Why do we need this integration?
It saves time, reduces duplicate entry, improves safety, and makes sure staff in both systems always see the most accurate information.
Q: Do we need to log in to both systems?
Yes, but only for their specific purpose:
Use AlayaCare for managing residents
Use MediMap for managing medications
You don’t need to duplicate work — the integration does the syncing
Residents
Q: Where do I add a new resident?
Always in AlayaCare. The resident will automatically appear in MediMap.
Q: What if I update a resident’s details in AlayaCare?
MediMap updates to match. AlayaCare is always the source of truth for resident information.
Q: What happens when a resident is discharged?
Discharge them in AlayaCare, and they will be automatically closed in MediMap.
Q: What if a resident doesn’t appear in MediMap?
Check that all mandatory details (name, DOB, gender, identifier, facility) are entered in AlayaCare. If the resident still doesn’t show up, contact MediMap Support.
Medications
Q: Where do I record medication?
Always in MediMap. This information flows back into AlayaCare as progress notes.
Q: What will I see in AlayaCare?
You’ll see progress notes automatically created by MediMap. These include the medication given, dose, date/time, and any comments or status (administered, withheld, refused, not administered).
Q: Does AlayaCare show the full medication chart?
No. The full chart lives in MediMap. AlayaCare progress notes show key events for visibility and continuity.
Q: What if a medication note doesn’t appear in AlayaCare?
Check it was recorded in MediMap. Notes may take a few minutes to sync. If it still doesn’t appear, contact MediMap Support.
Workflow
Q: Who is the source of truth?
AlayaCare = resident data
MediMap = medication data
Q: Do I need to change my daily routine?
No. Keep using AlayaCare for residents and MediMap for medications. The integration works in the background.
Q: What if I accidentally enter a resident in MediMap instead of AlayaCare?
The record may not sync properly. Always create residents in AlayaCare first. Contact support if you need help correcting records.
Support
Q: Who do I contact if something isn’t working?
First, check your facility manager or IT lead.
If the issue persists, contact MediMap Support through the Support Portal.
Q: Do we need to pay extra for this integration?
No. It’s included in MediMap as part of the Partner API suite.
Q: Do we need to set anything up before using it?
No. The integration is enabled by default — no extra setup is required.
